Job management for trade businesses

Quote it.
Do it.
Get paid for it.

Dash runs the whole job in one place: the quote, the crew, the site, the parts, the paperwork and the invoice. Xero gets the accounting. You get your evenings back.

Actual screens from Dash. The workspace is a demo, so every customer, job and figure shown is made up.

Dash does your quoting, scheduling, job costing, timesheets, purchase orders, supplier bills, safety forms, certificates, asset registers, progress claims, invoicing, Xero sync, payroll, fleet tracking, reporting and the paperwork

One app, one job record, and no re-typing between any of it.

The board

Everyone's day,
on one board.

Drag jobs onto people and times. Travel gaps and clashes show as you go, recurring maintenance lands on its own, and the crew sees the change before you have put the phone down.

  • Day, week and month views
  • Drive time between jobs
  • The change lands on their phone

On the tools

The job,
in their pocket.

Timers, photos, notes, parts, checklists and signatures, all built for a phone in a glove. Basements and plant rooms included: it keeps working with no signal and syncs when coverage returns.

  • Works offline, syncs by itself
  • Checklists with required photos
  • Signed off on the phone

Parts and hours

Every line carries
its own cost.

Labour and materials go onto the job from the office or the van, each with its reference, quantity, cost and price. Margin stops being something you work out afterwards.

  • Labour, materials and other, separated
  • Cost and markup per line
  • Job totals that move as the work does

Paperwork

Compliance that
files itself.

JSAs, test sheets and Certificates of Compliance filled in on site, signed, and stored against the job and the asset they belong to, on your own template, ready to send.

  • Your own DOCX templates
  • Stored against job and asset

Getting paid

Invoice from what
actually happened.

Everything the crew recorded is already on the invoice: labour, materials, the callout. Send it on your letterhead, and when the payment lands in Xero it shows against the job.

  • Built from the job, not retyped
  • Two-way Xero sync
  • Payments show against the job

Dash replaces

Dash replaces the whiteboard, the job spreadsheet, after-hours text messages, paper dockets, the shoebox of receipts, and uninvoiced work.

What it does

Deep enough to run on.
Simple enough to roll out.

The office gets the control it needs. The crew gets four buttons and a big timer. This is the whole stack, not a highlights reel.

Reporting

Twenty reports the day you start: profitability by job, work in progress, cash flow, aged receivables and payables, staff utilisation, asset compliance. Then a builder for the ones only you need, saved and emailed on whatever schedule suits.

  • Xero XeroContacts, invoices, bills, credit notes, payments and tax rates, plus Xero Payroll for timesheets and leave.

Timesheets → Xero Payroll

Some companies exist
just to do this one bit.

Getting approved hours out of the field and into Xero Payroll is an entire product category: a second subscription, a second login, a second set of people to map. In Dash it is a setting, because the hours were already in here.

  • The timers the crew already ran become the timesheet
  • Approve the week and it pushes to Xero Payroll (NZ today)
  • Leave and reimbursements go the same way, into pay runs
  • Each person mapped to their Xero employee record once
  • Earnings rates mapped, so overtime and travel land on the right rate

Built-in AI

AI that does
the admin,
not the chatting.

Six things, and this is the whole list. No chatbot, no assistant to prompt, no "AI-powered" badge stuck on a search box. It reads the paperwork nobody wants to read and fills in what you would have typed.

  1. Turns an email into a job

Reads an incoming request, works out the customer and the site, keeps the attachments, and writes the draft job for you to check.

  2. Reads supplier bills

Pulls the supplier, bill number, dates, lines and totals off the PDF, so a bill becomes a cost against the right job instead of a data-entry task.

  3. Reconciles supplier statements

Parses the monthly statement and matches it line by line against the bills you already have, so you can see what is missing.

  4. Updates jobs from replies

When a customer replies to a job thread, the change is read and offered as an amendment to the job, not buried in an inbox.

  5. Drafts quote wording

Turns your shorthand into customer-facing descriptions that sound like your business, on your own template.

  6. Search that understands you

Ask for "unpaid Harbour View jobs from last month" instead of learning where the filters live.

Wherever you invoice

Your currency.
Your tax rules.
Your paperwork.

Set the workspace to your country, currency and tax rates and Dash bills the way you already do. GST, VAT, sales tax: it does not assume which one you are on.

Any currency
Set it once on the workspace and quotes, jobs, purchase orders, bills and invoices all follow, with exchange rates held per document where you need them.
Your own tax rates
Pull them straight from your accounting system or set them by hand, for sales and purchases separately. Nothing is hard-coded to one country's regime.
Progress claims with retentions
Claimed to date, this claim, retention held and released. Modelled on the New Zealand Construction Contracts Act payment claim, which is the same shape progress claiming takes in Australia and the UK.
Local formats, per workspace
Country, timezone, locale, address format and the day your week starts. Set for your business, not for ours.

Your business data, treated like it matters.

  • Role-based permissions Every person sees only what their role allows, down to individual screens and actions.
  • Full audit history Who changed what, and when, across jobs, money and settings.
  • Encrypted credentials Site and customer access details are encrypted, and every reveal is recorded.
  • Daily backups, held off-site Automated daily database backups with off-site copies and long retention.

  • Your data leaves with you Ask and we will export your contacts, jobs, quotes and invoices in a portable format. No hostage-taking.
  • You get the people who build it Small team, no call centre. When you report something, it reaches the person who can fix it.

Questions

The things you'd
ask us on the phone.

Do I need a credit card to start?

No. You get 14 days with everything switched on, and we don't ask for card details to begin. If Dash isn't right, do nothing and the trial ends.

Will it work on site when there's no signal?

Yes. The field app keeps working in basements, plant rooms and rural jobs. Time, photos, notes, forms and signatures are stored on the phone and sync as soon as coverage comes back. The tech doesn't have to do anything.

How does the Xero connection actually work?

You connect your Xero organisation once. After that, contacts, invoices, supplier bills, credit notes and payments move between Dash and Xero in both directions, using your Xero tax rates and accounts. Dash doesn't do your bank reconciliation. That stays in Xero, where it belongs.

Can I use my own quote and invoice templates?

Yes. Dash generates documents from your own Word templates, so quotes, invoices, job sheets, certificates and JSAs come out on your letterhead rather than ours.

What are AI credits, and what happens if I run out?

Every plan includes a monthly allowance that covers the AI work Dash does for you: reading supplier bills, turning emails into jobs, parsing statements, drafting quote wording. Most businesses never get near the allowance. If you do, we tell you before you hit it and you can top up; nothing switches off without you agreeing to it. Credits refresh monthly and don't carry over.

Is the AI going to make things up on my invoices?

It never posts on its own. Everything it reads, whether a bill, an email or a statement, comes back as a draft with the original document attached, and a person approves it. It is there to save the typing, not to make the call.

How long does introductory pricing last?

The rates on this page are for foundation customers. When prices rise, yours stays where it is for 12 months from the day you sign up. We will always give you notice in writing before anything changes.

What counts as a user?

Anyone who signs in, office staff and crew alike. Your customers using the portal are not users and are never charged. Pick the band that covers your team; if you outgrow it, move up a band rather than paying per head.

How long does it take to get going?

Most small teams are quoting and scheduling on day one. Connecting Xero and loading your price list and templates is usually an afternoon. We'll walk you through it. Talk to us before you start and we'll help you plan the order.
